The milk tea project is a GC project that our GC came up with last year. Since it is the first enterprise price that involves food product for a GC in our school, the process to get the qualification to sell is everlasting. However, after various negotiations with the service department and testing in our group, we finally did the first selling event of our self-made milk tea on the 14th of February 2020.

Our GC focuses on raising funds and awareness for an NGO based in China called the New Hope Foundation which provides education and care to abandoned young children and most of them have some level of disability which is the main reason for them to be abandoned by their parents. Compare to other GC, it is relatively harder for us to have our own GC product because our NGO doesn’t really have any output other than recovered children. So we came up with self-made milk tea as we believe that it will have a large potential customer group in the school which will bring more funds and awareness to our GC.

The milk tea is pre-made the day before the selling event because of the long duration of making them. Although there are a few free recipes online, adjusting the flavor of our milk tea is a really time-consuming process to go through. It took us 4-5 times of adjustment to find the ideal sweetness in order to make it welcoming in school.

The selling event took place at the school canteen at lunchtime, the timing and location make our shop easily accessible to our intended consumers we are looking for some fresh drinks after lunch. In fact, our milk tea product really met the taste of our customers, the milk tea turns out to be quite popular as around 2L of milk tea got sold out in a 1-hour lunchtime. Alongside with the milk tea, we also had dumplings at the event as well. But, not as lucky as the milk tea, the dumplings didn’t do too well for various reasons.

During the selling process, we distributed the food using reusable cups and dishes from the school canteen to make sure there was no plastic wastes produced in our sale. Also, our milk tea product is definitely a healthy choice because all the ingredients and making processes are absolutely environmentally friendly and hygienic which is a big selling point for our product.

The event was overall a successful event for our GC and achieved the goals that we set it up for. Nevertheless, there are still several aspects that we need to take account of as our group reflects after the selling has ended in future selling events like this. In the preparation phase, we think having a fixed recipe of the ingredients to make the ideal taste is consequential as resources will be wasted and the product won’t meet customers’ expectations if we don’t have a fixed good taste to our product. In the selling phase, the roles of different people over the counter should be articulated clearer before the selling process definitely cannot be considered organized. In the phase of cleaning up, the used cups and dishes should be washed when they are returned because it will dissipate the time of students we volunteered to the event after the selling is over to clean up while they are trying to rush to class.

Overall, the selling event went really well this time. And we are looking to achieve further success to raise funds and awareness for our NGO and the abandoned children especially the ones under their protection.

Strengths

Preparation

  • Enough manpower
  • Milk tea was made, logistics worked out well
  • Communications between people who were allocated to this

Selling

  • There was a demand for milk tea (sold out milk tea)
  • Improvised strategies to increase sales
  • Safety
  • Location was good (people could see our stall and more likely to purchase tea)

Wrap up

  • People were willing to do work to clean up
  • Everything borrowed was returned in the end
  • Some people left
Weaknesses

Preparation

  • Hygiene
  • A lot of the equipment used was borrowed and so it may be easy to lose equipment which could present complications
    • Pitchers
    • Cling Wrap
  • Too much improvisation in making the milk tea
  • Underestimated the demand for the milk tea
  • Rushed filling up required documents
  • Lack of advertisement on the sustainability of our business, lost awareness

Selling

  • Not showing up
  • Communications
  • Allocation was not clear and efficient
  • Communication with zero waste; unclear who is doing what
  • Double cash system difficult
  • Milk tea proportions were not equal
    • For people who ask to have the milk tea in their own cups – we need to figure out a measuring system so that we can accurately give everyone the same quantity of milk tea
  • Nobody had GC shirts on
  • Do we really need whiteboards?
  • Forgot to tally
  • No ice scooper

Wrap up

  • Washing was not completely efficient, some people had to stay afterwards
  • Rushed
Opportunities

  • Create checklist for ENTIRE SYSTEM: Create checklist for the different forms we need to fill out + making milk tea + others.
  • Review roster; establish specific roles and a ‘rotation’ system
    • To give everyone a chance to try out different roles
  • Make a detailed recipe for milk tea
  • Focus on milk tea (can estimate
  • Set up system for washing
  • Meet with zero waste prior to session
  • Lack of advertisement; posters set up too late
  • Instruction on white board/poster (about cash system)
  • Separate zero waste cashier and Smiles of China cashier
  • Milk tea prices: add charge for ice, flavours, etc.
  • Could add flavours
  • Standardise the amount of milk tea in each cup
  • “No palm oil” signs
    • Perhaps could make a large A3 poster (which we reuse every time we sell) to put on the whiteboard including sustainable, ethical and environmentally friendly materials.
  • Perhaps purchasing our own equipment specifically for this business. (eg. ice scooper, pitchers, cling wrap)
    • Make a proposal to Service
    • Keep track of all the expenditure so that we can see the profitability of the business (graph our progress)
  • Qualitative data on event day
    • Eg. to have a sweeter option??

Threats

  • Not reading emails
  • Confusion about roles
  • Lack of participation
  • Difficulty in working with Zero Waste and money handling (some logistical issues)
  • Lack of a clear schedule on when to pack up (people who stay and help to clean up afterwards may be late for class, need to shift pack up to an earlier time)
